How to Create and Import a Guestlist
Ticket Validation allows you to easily create and manage guestlists using a simple CSV file.
Follow these steps to prepare and import your guestlist.
Create Your Guestlist File
Open Google Sheets, Excel, or any similar tool.
Create a sheet with the following columns:
- Name and Surname
- Ticket Type (e.g. Regular, VIP, etc.)
Optional:
- Email address
You can add more data if needed, but these are the basics.
Important:
Do not use entries like +1, +2, or group entries.
Each guest should be entered as a separate row with their full name.
This ensures:
- Accurate tracking of total guests
- Easier search at entry
- Better control during validation

Save as CSV
Once your guestlist is ready:
- Export or save the file as a CSV
This is the format required for import.

Create an Event
Before importing, make sure your event is created.
Then go to:
- Tickets
- Click Import

Import Guestlist
During import:
- Upload your CSV file
- Select source: Guestlist
Note: The Guestlist source must be created in advance in the Sources section.

Map Columns and Generate IDs
Map your columns to the system fields:
- Name and Surname
- Ticket Type
Then:
- Enable the option to generate ticket IDs automatically
This is required since guestlist entries usually do not have predefined ticket IDs.

Assign Validator for Guestlist
If you want a validator to handle only the guestlist:
- Go to validator settings
- Instead of full access, assign limited access
- Select source: Guestlist
This ensures that the validator can only see and validate guestlist entries.

At the entrance, the validator can:
- Use the search field in the mobile app
- Type the guest's name
The system will display matching entries, and the validator can:
- Select the correct person
- Validate the entry

Your guestlist is now fully set up and ready to use at entry.
